Under the authority of the Director of Sales, manage customer’s files with regard to the orders, invoicing, and management of the credit notes. Make effective communications with them to keep them informed of the progress of their order and billing files. Manage and maintain different registers via a database. Support sales representatives in customer relationship and sales development (65%). Ensure an adequate management of the products in the warehouse (35%).

Main tasks
- Manage phone calls, web and fax customer’s orders
- Make the administrative processing and the follow-up of the orders and credits of the receivables
- Validate products availability related to sales orders
- Track and verify and handle Quebec warehouse receptions
- Manage products location in the warehouse, and ensure the accuracy of in stock inventory
- Manage delivery memos, preparation and delivery of pick-up orders to customers
- Manage merchandise returns: inspection, validation and documentation
- Support sales representatives in their sales development and customer care efforts
- Prepare project quotation when required
- Update client files in a database when required
- Support the customer service department with regard to billing
- Manage and maintain the payment schedule of the reward program
Training and qualifications required
- College degree or certificate (preferred)
- Comfortable with Office Suite software
- Experience of 1 year in administration (preferred)
- Functional bilingualism, English & French, an asset
- Knowledge of FIDELIO, or integrated management system (ERP) desirable
- Demonstrate thoroughness, diplomacy, rigor, attention to detail
- Demonstrate organizational skills, interpersonal skills, effective communication, discretion, judgment, teamwork and collaboration as essential
- Forklift operator certification suitable
